How to Add Text to a PDF

PDFs are designed to preserve their content exactly — which makes them great for sharing but inconvenient when you need to add information. Our free online tool lets you insert custom text directly onto any page of a PDF. Whether you need to fill in a field on a form, add a date, annotate a diagram, or add your name to a document, you can do it quickly without any software installation.

Step 1 – Open the Add Text Tool

Go to our Add Text to PDF tool. You'll find a file upload area where you can select your PDF by clicking or dragging and dropping it onto the page.

Step 2 – Upload Your PDF and See the Preview

Upload your PDF. The tool generates a preview of the first page so you can see exactly where you're working. The preview is interactive — you can click to position your text precisely on the page.

Step 3 – Type Your Text and Position It

Enter the text you want to add and choose your font size and text colour. Click on the page preview to position your text at the desired location. The text will be placed exactly where you click, so take a moment to aim for the right spot — whether it's a form field, a margin, or a specific area of the document.

You can customise:

Step 4 – Download the Updated PDF

Once you're happy with the text placement, submit the form. The tool embeds your text permanently into the PDF at the specified position. Download the updated file to your device.

Tips for Adding Text to PDFs

Common Uses for Adding Text to PDFs

Filling in PDF forms: Many forms are distributed as PDFs but are not interactive (no form fields). Adding text lets you fill them in digitally without printing.

Adding a date to a contract: Sign a contract digitally using our Sign PDF tool and then add the signing date in the date field using this tool.

Annotating diagrams: Add labels, measurements, or notes to technical diagrams, maps, or floor plans embedded in PDF files.

Personalising certificates or documents: Add a recipient's name to a certificate template or a custom message to a printed document.

Adding reference numbers: Add invoice numbers, reference codes, or document IDs to PDF files that were created without them.

Frequently Asked Questions

Can I add text to any page, not just the first page?

Currently the tool adds text to the first page of the PDF. To add text to other pages, split the PDF using our Split PDF tool, add text to the individual page, then merge the PDF back together.

Is the text permanent once added?

Yes. The text is embedded into the PDF page content and cannot be easily removed without a full PDF editor. Make sure your text is correct before downloading.

Can I add multiple lines of text?

You can add a single text string per operation. For multiple separate text elements, re-upload the result and add text again. Each upload adds one text element at a time.

Will the added text be searchable?

Yes. Text added by this tool is real embedded text (not an image), so it will be searchable and selectable when the PDF is opened in a reader.

Can I change or remove text I've already added?

Once the text is embedded, it cannot be easily changed. Keep the original unedited version of the PDF so you can start over if needed.
